Best Fit: The product is well suited for small and mid-sized accounting firms that desire a completely integrated, comprehensive document management product.

Product Strengths:

  • The product offers a series of integrated modules for complete document storage and management  
  • Multiple deployment methods are available
  • Product is scalable, making it suitable for very small to large accounting firms  
  • The product contains a complete PDF Editor  

Potential Limitations:

  • Though the product is suitable for large firms, it may not be the best solution for very large firms with more than 100 users.

Basic System Functions 4.5 Stars

Doc.It Suite offers numerous modules including Scan & Organize, Inbox, Work Binders, Workflow, PDF Editors, and a Web Portal.

Doc.It offers users both on-premise installation, as well as a cloud-based product that can be hosted by third parties. Along with flexible deployment options, Doc.It offers mobile integration, so users can access the product remotely using a laptop, iPad, or Android device. A Hybrid option is also available that allows firms to operate with a server onsite if they choose too, while also having select applications (may or may not include document storage) in the cloud.

Doc.It’s main interface offers an easily navigated interface, with an expandable tree menu to the left of the screen. Users can simply click on a folder to display the documents stored in that particular folder.

All documents scanned or saved are initially directed to the Doc.It Inbox, which provides temporary storage for all documents. Users can easily work on any document while it is still in the inbox, with users able to route the document to the correct place when they are finished, including to a colleague, third-party applications, or directly to the work binder to be stored.  

All documents in Doc.It are stored in binders and saved in their native format, using the folder structure that is customized by each firm to suit their needs. The Binders feature contains several key features, including a notes system, where uses can identify area that need attention in a specific document. Users can use drag-and-drop functionality to save documents in Doc.It, and the scan and organize function utilizes optima character recognition (OCR) technology, allowing users to locate documents using key words, and even document text to locate a document. Doc.It also allows users to easily view and work on multiple documents.

Advanced Management and Archiving Features 4.75 Stars

Doc.It allows users to easily check documents in and out of the system, and multiple versions of any document can be created as needed. Once a user has finished working with a document, it can be easily archived, which will automatically convert the document to a PDF for added security. All archived documents can also be assigned an expiration date, with managers able to dispose of any stored documents after the expiration date has passed.

A complete PDF Editor in included in Doc.It at no extra charge, which allows users to easily make changes to any PDF documents including annotations and appends. Users can also highlight text in the documents, use a stamp to indicate the status of the document such as Draft, and even sign documents electronically. The Document Publishing feature allows firms to create a PDF of all documents currently archived that are associated with a particular client, event, or activity, creating a complete record of the client or activity in the archive. Doc.It also includes a Document Workflow function, that firms can use to track and monitor important due dates, while also ensuring that all the necessary documents are routed to the correct personnel. Mentioned earlier, the Doc.It Scan and Organize feature easily makes every scanned document fully searchable using optical character recognition (OCR) technology, making it easy to locate any document. In addition, Doc-It Automatic Form Recognition (AFR) helps to identify different document types, ensuring proper naming conventions.  

Client Collaboration Tools 4.75 Stars

The Doc.It Web Portal is a fully integrated portal that can be branded with a firm’s name and logo. Using the Web Portal, firms can easily share documents of any size with their clients. Clients receive an email when a document has been uploaded to the portal, and using a custom user name and password, and easily access the document for quick download. Clients can also share documents with firms, with the same email notification, and firms can conveniently access all client web portals from one central screen within Doc.It.

Integration 4.5 Stars

Doc.It Suite is sold as an all-in-one solution, with all modules included in the product, creating a completely integrated product. The product is also designed to pull together the numerous applications frequently used in an accounting firm, so documents from tax applications can be shared with Doc.It as easily as Microsoft Office documents.

Support/Help 4.5 Stars

Doc.It offers solid help functionality throughout the product, with users able to search help functionality from any screen. Subscription pricing includes unlimited telephone and email support as well as all product updates and enhancements. Doc.It provides all new uses with a training and implementation schedule that last about 9 weeks and includes the project team. Administrator training follows, with all partners, staff, and professionals trained as well. Training can be conducted remotely or onsite, depending on the needs of the firm. The Resources page of the Doc.It website also offers additional tools such as videos, ebooks, whitepapers, downloads, and case studies. The system has a cloud-based support system called Kayako, and monthly product tune-up webinars are offered to users, as well as unlimited access to pre-recorded training videos, all free of charge.

Summary & Pricing

Doc.It offers scalable pricing, making it a good option for very small to large firms. Pricing varies depending on the number of firm users. The first ten licenses run $35 per user per month. The next 20 licenses run $30 per user per month. Any licenses above 30 users are $25 per user per month. The subscription pricing includes unlimited telephone and email support, all product updates and enhancements, and unlimited web portal logins. Training and product implementation are assessed separately.
