CYMA’s tenth anniversary edition of its nonprofit software boasts many improvements to the core product. CYMA Systems has served mid-sized operations in the account-ing software industry since 1980.
EASE OF USE/FLEXIBILITY - 5 Stars
At first glance, CYMAIV NFP appears to have things hidden with-in traditional menu access. With version 10 has come an enhancement to last year’s new “eDesk” electronic desktop. Allowing users to customize module access menus on their desktop, the eDesk opens from a tab on the right and can be hidden by toggling the same. Along with user-level customization, this year sees the addition of module workflow diagrams. This is a great stride in usability and efficiency.
In version 10, flexibility in-creases with user-specific entry screens that can be tailored to display grid functions chosen by each user for GL, AR, AP, Payroll and Job Cost. New streamlined posting for Sales Order, Inventory and Job Cost modules keeps users from switching to GL to post. The Process menu also holds the key to “un-posting” transactions in the event of an error. Used responsibly, these convenience features can be very helpful, and the audit trail reports activity.
MODULES/SCALABILITY - 4.5 Stars
CYMAIV NFP’s foundational module is the System Manager, which provides user access, security and configuration of the system. From there, modules can be added for GL, AP, AR, Bank Reconciliation, CYMA Alerts (real-time reminders), Grant Track-ing, Inventory Control, Job/Project Costing, Payroll, Project Track-ing, Purchase Order and Sales Orders.
Add-ons available to expand capabilities are MICR Check Package, CYMA Online Backup, State Payroll Forms, F9 - Report Writer, and Crystal Reports. Third-party interface options and CSV import/export functionality expand CYMAIV NFP to meet the needs of nonprofits with operational accounting needs. CYMA operates on the Pervasive SQL Database (purchased separately), which allows up to 50 simultaneous users.
FEATURES/FUNCTIONALITY - 5 Stars
CYMAIV NFP was designed for not-for-profit organizations from the ground up. Beginning with a robust 24-character account structure, it also includes account types specific to nonprofits: Pledges Receivables, Inter-Fund Receivables, Inter-Fund Payables, Unrestricted, Temporarily Restricted, Permanently Restricted, Cash and Non Cash Contributions, Grants and Contracts, Special Event Revenue, Program Expenses, Fund Raising Expenses, and Donated Services & Materials. These options help produce reports and analysis very quickly.
CYMA also offers fields on transactions to track grants, pro-grams, funding sources, core object expenses and activities that the organization defines. Even CRM-type features are built in to Grant screens to monitor correspondence and dialog. Another unique feature to CYMA is Auto Segment Balancing for inter-company transfers. It automates entries to keep defined locations, department, program and project funds balanced. Full budgeting with controls and encumbrance accounting round out the nonprofit functions expected.
In version 10, budget functionality was improved, allowing entry and queries
to be defined by Account Segment, Account Type, Account Sub-Type levels. AP
now supports Electronic Funds Transfer via an ACH file.
For accountants serving nonprofits, CYMA offers an After the Fact add-on to enter cash disbursement checks and cash receipt journals at a much quicker pace than the traditional Journal Entries screen provides. They also offer client write-up software.
REPORTING - 5 Stars
CYMAIV NFP now offers custom group headings on standard financial statements, eliminating the need for add-on report writers for basic reporting needs. But CYMA offers 300 standard reports with dozens of FASB 117-compliant financial statement options available. All reports are written with Crystal Reports so this customization option already exists for any report in addition to F9 connectivity.
New User Defined Report Lists allow users to choose only the reports necessary on any reports menu in all modules. Calculators are available for enhanced analysis on topics such as lease vs. buy, working capital planning, loan amortization and ratio analysis. All CYMAIV NFP reports are completely date sensitive and allow preview, print and export to PDF, Excel, Word and HTML formats.
SUPPORT/HELP - 5 Stars
In-product Help is based on a searchable reference manual. Hard copy manuals are available to order, as well. Online training classes on a wide array of topics are available regularly or as private classes. Annual software maintenance plans are available for updates/enhancements. Plan owners have access to a web knowledgebase for FAQs and common error message resolution. Technical support plans for unlimited live telephone support start at $395 for a single user. CYMA offers support plans including product upgrades for one year. Individual incident support is also available.
RELATIVE VALUE - 5 Stars
Individual CYMA modules start at $645. Most NFP organizations will require three modules, starting at $1,935. Grant Tracking is an additional charge of $395. CYMA is offering special pricing to 501(c)3 organizations through the end of 2008. In the mid-market, this program is exceptionally robust and specifically designed with nonprofit agencies in mind. Any organization that previously used business accounting software would finally feel at home in CYMAIV NFP.
